Overview
Citizenship status and intended visa type changes should be handled with care due to their sensitive nature and intersection with a variety of Slate, J1, and PowerFAIDS processes, including staff assignments, financial aid packaging, checklists, event invitations, and decision letters. Change requests that are not straightforward should be brought to an ES&O huddle (e.g., ticket 25377410).
Citizenship Status Changes
Citizenship Status, along with other fields, is read-only on the Person Info tab. Because it cannot be edited via a form, this query should be used to update its values.
- Before running the query, input the relevant prospective student's Slate ID into the Reference ID Pinned filter.
- Click "Run Query."
- On the results page, change the Output to "Field" and click "Export."
- Field = Citizenship Status (DU)
- Action = Replace Values
- Prompt = The appropriate status, as dictated by the relevant ticket
- Click "Submit"
- Some citizenship status change requests may necessitate updating the prospective student's Birth Country and/or Birth City. The same query can be used for these revisions.
- Field = Birth Country and/or Birth City
- Action = Replace Values; if the correct Birth Country and/or Birth City are unknown, "Delete Values" instead of replacing them
- Prompt = The appropriate country or city, as dictated by the relevant ticket
- Click "Submit"
- After updating the field(s), change the Output to "Interaction" and click "Export." Note: The "old" Citizenship Status and, if applicable, Birth Country values will remain in the query's results.
- User = Current User
- Code = Operations Action
- Subcode = Citizenship or Intended Visa Change
- Subject = Ticket ########
- On the Dominican application, SSN is available for US Citizens and US Permanent Residents. If an applicant moves to one of these statuses and their SSN is not already on file, consider including a version of this paragraph when closing the relevant ticket:
- As a {{US Citizen}}/{{US Permanent Resident}}, you are likely eligible to apply for and receive federal financial aid. Visit this page to learn more about the Free Application for Federal Student Aid (FAFSA).
Intended Visa Type Changes
- Intended Visa Type can be edited within the Application Info tab of the application. Most change requests are submitted by the director of international enrollment for applicants who originally indicated "Do Not Know" as their intended visa type; "Do Not Know" applicants assign to the director's territory.
- After updating the field, navigate to the Timeline tab and click "New Activity."
- Code = Operations Action
- Subcode = Citizenship or Intended Visa Change
- Subject = Ticket ########
- Intended visa types moving from "Do Not Know" to "None/Not Applicable" will change the applicant's staff assignment. (Other, atypical revisions may do the same; these requests should be brought to an ES&O huddle.) While rules will update staff assignments, queue reassignments must be made manually in the Workflow tab and should occur before the relevant ticket is closed.
