Password Protection on Zoom Recordings

Tags Zoom

A passcode adds a layer of protection to a shared Zoom cloud recording: people with the link must enter the passcode before they can view or download it. Depending on how your account is configured, new cloud recordings may require a passcode by default. Whether or not yours do, you can add, change, or remove the passcode on any of your recordings, and you can choose your own default for future recordings.

How to add, change, or remove the passcode on a specific recording

  1. Sign in to the Zoom web portal.
  2. In the navigation menu, click Recordings & Transcripts.
  3. Click the Cloud recordings tab.
You will see a list of your processed cloud recordings.
Note: A recording that is still processing cannot be opened until processing is finished.
  4. Click the thumbnail of the recording to open it.
  5. Click the Share icon.
  6. Click More settings.
  7. Update the Passcode option:
    • To require a passcode, select Passcode. Zoom provides a pre-generated passcode, or you can enter a custom one.
    • To change the passcode, replace the existing one with a new passcode.
    • To remove the passcode requirement, clear the Passcode option.
  8. (Optional) Select Allow invitees to access recordings without the passcode to let people you added under Share with specific people view the recording without entering the passcode.
Note: This option only appears when a passcode is enabled.
  9. Click Save.
  10. Click Copy link and passcode, then paste the link into an email or another platform to share it.

Note: Zoom generates a new, unique recording link whenever the users or groups a recording is shared with change. If you change who a recording is shared with, share the updated link.

How to require or stop requiring a passcode for future recordings

To choose whether your newly created cloud recordings require a passcode by default:

  1. Sign in to the Zoom web portal.
  2. In the navigation menu, click Settings.
  3. Click the Recording & Transcript tab.
  4. Under Recording, click the Require passcode to access shared cloud recordings toggle to turn it on or off.
Note: If the option is grayed out, it has been locked by a Zoom administrator and you cannot change it. Contact the Support Center if you need it changed.

Notes:

  • This setting controls the default for newly generated cloud recordings. It does not change recordings you have already made; use the steps above to change those one at a time.
  • Even when this setting is on, you can still change or remove the passcode on an individual recording.

How to let viewers open a recording in one click (optional)

If you require a passcode, you can embed it in the shareable link. The passcode is encrypted and included in the link, so viewers can open the recording in a single click without typing it. Anyone who has the link can then view the recording, so share it only with people who should have access.

  1. Sign in to the Zoom web portal.
  2. In the navigation menu, click Settings.
  3. Click the Recording & Transcript tab.
  4. Under Recording, make sure Require passcode to access shared cloud recordings is turned on.
  5. Select the Embed passcode in the shareable link for one-click access checkbox.
Note: If the option is grayed out, it has been locked by a Zoom administrator. Contact the Support Center if you need it changed.
  6. Click Save.

Notes:

  • After you turn this on, Passcode no longer appears in the shareable link section of the Share window.
  • After you turn this on, resend any meeting invitations so the updated links include the embedded passcode.
