A Help Ticket is submitted with a File to be Imported into Slate
Open Ticket and File(s) and Delete those records who are not new
Merge the two Rosters into One Spreadsheet
Remove Columns D-E
Add a Start Term Column
Spring 2024 as an example for those with a March Start. Dates based on Slate Configuration. See Prompt List in Slate for List
Save file using the Ticket # for reference
Close Spread Sheet
Go to the Cubby with Roe Tide Uploads

Go to Folder and Select File and click Upload
Check that none of the records have started an application
Application Import
Check each record and open in new Tab to see if they have already applied
If they have two applications.
If the application is unsubmitted delete the application
Edit Application Details
Click Delete

On the Timeline under Interaction

Sttps-Data Cleared
Enter Ticket number in Subject Line
If the application has been submitted check with Scott in Operations
Click Send Mailing Again
Check # receiving to confirm that matches the # of imports
Click Send Mailing
Click OK for Pop Up (Ignore Warnings)
Respond to Ticket with the following information
# of applications received
When email will be sent (3:00 p.m. Today as an example)
Copy Katherine Hartman (currently the Roe Tide Advisor)
A staff member submits a Help Ticket and notifies Operations that a file is available to import Applications into Slate
Day 1 of the Process
Go to Database [1]
Search Source Formats [2] & [3]
Click on Person Import-BMS [4]
Click on Upload File(s) [5]
Under Folder
Person Upload [6]
BMS [7]
Click on Add Files [8]
Locate where the file was placed from the Ticket
Click Upload [9]
You must wait for the process to work before going to the next step. This can often take up to 15 minutes or more
Click on Application Import-BMS [10]
Click on Upload File(s) [11]

Go back to Application Import-BMS [10]
Make sure that under Imported that the process has finished and lists, for example, 2/2 or 1/1 [16]
Click on the newly imported file [17]
Click on a student [18]

Click Next and repeat steps for each student in the import
Go to the Application tab to Confirm and Release Acceptance
Click on the Decision [20]
Click the Check Box by Date for Confirmed [21]
Click the Check Box by Date for Released [22]

Repeat for each student in the file
Process Deposit URLS, DU ID [24]
Click on Deposit URL Query [25]
Run the Query
Copy the Deposit URL for each student in the Ticket
Day 2 of the Process (24 hours after doing the steps above)
Processing Deposits go back to the Processing Deposit URLs, DUIDs, and DU Emails for BMS and PA Query
Change Confirmed Date to TODAY -1 (Sometimes you need to change to Today-2 or Today-3) [27] [26]
Click Save [28]
Click on Run [29]
You will see the DU ID and DU Email
Add Student Name, ID and DU Email to the Ticket [30] [31] [32]
PA Differences
Person and Application Loads the same process as BMS
If there are a lot of students in one file
Change the Program in the Query to PA or BMS to limit spreadsheet to the one program
Export the records into an Excel Spreadsheet and upload to the Ticket
Repeat the Process
Once for Deposit URLs
Once for DU IDs and DU Emails
Delete Columns for Credential Email and Opened Email
A staff member submits a Help Ticket and notifies Operations that a file is available for Import into Slate
Go to TEAMS and open the Sage Scholars-SourceFormat Template [1]
Copy and Save As a New Excel File, Rename file using the Ticket # as a reference [2]
Open the Renamed File
Add the Student Information from the Ticket in the row below the Yellow Test Row [3]
Delete the TEST ROW [4]
Save and Close
Log into Slate and go to the Cubby that has the Sage Scholars [5]
Upload File [6]
No Foldering [7]
Add File [8]
DONE!
